How do I join Haulage Exchange?

Different types of documentation are required when registering with Haulage Exchange.

If you are registering as an owner-operator, we require:

  • Your operator licence
  • Vehicle insurance
  • Goods in transit insurance

If you are registering as a haulage company, we require:

  • Your operator licence
  • Vehicle insurance
  • Goods in transit insurance
  • Your certificate of incorporation of a private limited company

If you are registering as a freight forwarder to post loads (UK and EU), we require:

  • 2 x proofs of address dated within the last 3 months
  • A signed letter of responsibility

 

How much does the Driver app cost?

Most subscription levels come standard with one Driver app, free of charge. Higher-level subscriptions give you access to two free Driver apps.

If you want to add more Driver apps to your subscription, each additional app will cost you £9.99 + VAT each month. This is worked out pro-rata according to your subscription renewal date.

How is Haulage Exchange different from other platforms?

We believe in transparency, which is why all of our members on the Exchange leave each other feedback once a job has been completed. Both haulier and subcontractor are encouraged to perform at their best to uphold a good reputation and get future work. Haulage Exchange’s technology is highly intelligent, with many exciting tools being released on a regular basis to make a haulier or freight forwarder’s workload more manageable.

Is Haulage Exchange only for national operators?

No. As an owner-driver, haulage company or freight forwarder, you decide whether the work is local, regional, national or international. Whether you are an independent contractor, a small business with one office, or part of a multi-national operation, Haulage Exchange can expand your opportunities across UK and into Europe.

How can my company join Haulage Exchange?

All our members go through a vetting and compliance process. This is so we can make sure that you are exposed to only the highest calibre of haulage professionals when operating on the Exchange. After registering with us, you will be asked to provide your full company details including accreditation documents like insurance and licenses. Once all your documents have been screened and everything is in order, you will officially be part of the Haulage Exchange family.

What are the joining fees?

It all depends on the size of your business and its objectives.

Are there other costs apart from joining?

Aside from the document accreditation fee, there are no additional fees. We do not charge any commission or brokerage fees to trade loads and owner-driver jobs.

How do I access the platform?

All you need is access to the Internet from your desktop PC or iPhone/Android smartphone to log in with your username and password. The system is fully cloud-based, making it extremely convenient for the busy fleet or owner-driver out on the road. Once you have received training, passed compliance and been set up, you’ll be able to log in successfully.

Who is the buyer and seller in a Haulage Exchange transaction?

The ‘seller’ or subcontractor, is the member with a load that needs to be delivered. The ‘buyer’, or owner-driver, is the member with vacant capacity that can deliver the load on behalf of the subcontractor.

How do I post a load?

Simply input the details of the load you need to be delivered onto the Exchange (integration with popular courier software systems is available – please speak to our team for advice or requirements). The system will send instant notifications to other members who match your job requirements and who are in the local area to your pick-up. If a member is interested in your load, they will contact you directly to discuss pricing via email, telephone (or electronic quotation if you allow this) and timings for the booking.

How do I accept a load?

When looking to transport a load, simply share the details of your vehicle type and available capacity to the Exchange. You can do this for either an outbound or return journey. You should then receive automated real-time notifications for any loads that match your availability criteria based on your location. You can also contact load posters directly from their listing and receive notifications based on your current location.

How do I quote for a load?

You can quote for a load by contacting the member who advertised the load via telephone, email or our ‘Quote now’ button (if the member accepts quotes electronically). You must receive confirmation that you have secured the load from the seller, before attending any delivery point which will acknowledge that your quote has been accepted.

What happens if I have to cancel a job?

You can cancel a job at any time. However, if you cancel the job after it has been accepted then you may be liable for a cancellation fee. This fee will have to be decided between you and the other member you were working with. Always check terms and conditions and any cancellation charges on a member’s profile before accepting a load.

Does Haulage Exchange decide my rates?

No. You set and agree your own rates with the other Exchange member, ensuring that you can maintain or even improve your margins.

Does Haulage Exchange record my activity?

Haulage Exchange has designed the system in such a way that you can manage your account easily. At any time you can view your account online and view your load history, posted or accepted, and the income you’ve made from it.

How do I get paid for work completed?

Payment is made by the other member directly to you, so you must agree on the rate and payment terms prior to accepting a booking. If there are any issues with payment, we are more than happy to mediate on your behalf using our built-in feedback and complaints handling system.

How do I pay subcontractors through Haulage Exchange?

Rates and payment terms for any work you subcontract need to be agreed between you and the subcontractor prior to any work being done. You will then pay them as agreed.

Do I have to stay online all day?

No. To make the most of the opportunities that are available on Haulage Exchange, we advise you to check the system as often as possible. However, if most of your time is spent on the road and not in front of a computer, then we have a real-time notification system. This allows you to run your business and quote for loads or owner-driver jobs, whether you are on the road or at your desk.

Does the platform have a built-in POD solution?

Of course. You can communicate in real-time with anyone you are working with at any stage of a job. A POD (either electronic or scanned copy of original) must be entered into the system to complete a booking. You can also upload your POD documents at any time. Please check the terms of the load-poster as they may require this to be sent via post. We advise that you get recorded delivery as proof if required.

Does Haulage Exchange recommend me to other members?

Haulage Exchange strives to maintain a high calibre of members and we accredit everyone before giving them access to the haulage community. We are completely neutral and never favour or promote one member over another for loads or owner-driver jobs. However, our advanced member feedback rating system allows you to make an informed decision about the company, owner-driver or load-poster you want to work with.

Does Haulage Exchange monitor member performance?

Haulage Exchange cannot guarantee a certain service level expectation of its members. All we can do is provide a feedback system where members can rate the performance of others, once a booking has been completed through the system. We also offer best practice guidelines to all members on joining and reserve the right to terminate the account of any member whose service levels do not meet an appropriate standard.

How do I stop my clients from being poached by other members?

We understand that keeping clients is what your business is all about. Haulage Exchange is designed to help you do that by enabling you to increase your geographical service area and meet Service Level Agreements (SLAs) by dramatically increasing the size of your available fleet. The only members who will ever know who your clients are will be the ones you choose to work with. Our feedback system encourages other members to treat your clients respectfully and any misuse of the Exchange will be dealt with accordingly.

How does Haulage Exchange handle sensitive information?

We are committed to protecting the information we collect about our members. Information will never be shared with other parties unless permission has been granted by the member in question.

Who can view my personal details?

Haulage Exchange is a secure network.

Your details are only visible to other members on the Exchange and employees working at Transport Exchange Group Ltd. Members can view your insurance coverage like goods in transit, public liability and licenses. (Sharing details about your license is optional with members, but is mandatory when requested via the Exchange’s compliance team).
